A clean office is not just about appearances. In a space where many people spend the whole working day, dust, bacteria and dirt build up much faster than in a home. That is why cleaning commercial premises should be planned, rather than done only once the dirt becomes noticeable.
There is no single schedule that suits every company. How often you need cleaning depends on the number of employees, the type of business, the number of visitors and the size of the premises. Still, there are guidelines that apply to most offices and commercial spaces.
What is best done every working day
Some parts of a workplace are used so often that they are best cleaned daily:
- Toilets – cleaning and disinfecting sanitary fittings, sinks and floors, and restocking supplies.
- Kitchenette and break room – worktops, sink, coffee machines and dining tables.
- Bins – emptying them so that unpleasant odours do not linger.
- Frequently touched surfaces – door handles, switches, railings, lift buttons and shared devices.
- Entrance and reception – the part of the premises that clients see first.
What can be done a few times a week or once a week
In most offices, the following tasks do not need to be done every day, but they should not be put off either:
- vacuuming and mopping floors in work areas and corridors,
- dusting desks, shelves and cabinets,
- cleaning meeting rooms after use,
- cleaning glass partitions and doors.
In spaces with many employees or visitors, such as shops, medical practices or customer service areas, these tasks are often done daily as well.
Periodic, more thorough cleaning
Besides regular cleaning, commercial premises also need a more thorough clean from time to time:
- window cleaning – depending on the location and season, usually a few times a year,
- machine floor cleaning – removes dirt that builds up over time in tiles, grout and other floor coverings and cannot be removed by ordinary mopping,
- upholstery deep cleaning – office chairs, waiting room sofas and upholstered furniture collect dust, stains and dust mites over time,
- deep cleaning – for example before a new season, after a move or after renovation.
How to set the right schedule for your company
The best schedule is the one that matches how the space is used. When planning, it helps to answer a few questions:
- How many people spend the day in the premises, and how many clients visit?
- Do you have a kitchenette, a meeting room or an area for receiving clients?
- What are the floors and furniture like, and how quickly do they get dirty?
- When does cleaning disrupt work the least – before, during or after working hours?
Once these questions are answered, it is easy to make a plan in which daily tasks are done regularly and more thorough cleaning is done at intervals that suit your premises.
